BidPrime cost and BidPrime pricing: what each plan runs per year, and the renewal terms to check

BidPrime does not publish its prices. Every plan is quoted by a sales rep after a demo or trial and sold as an annual contract. Reviewers and comparison sites report regional plans at roughly 1,500 to 3,000 USD a year and national state and local coverage at 10,000 to 12,000 USD a year or more, with price increases reported at renewal.

The plans are Enhanced, Expert and Enterprise. What moves the quote most is how many states you cover, how many bid documents you pull each month, and whether you add the intelligence modules.

BidPrime costs anywhere from the low thousands to five figures a year, depending on coverage. Because BidPrime quotes each account, the only figures available are the ones buyers and reviewers report: roughly 1,500 to 3,000 USD a year for a regional plan and 10,000 USD a year or more for national state and local coverage. Older forum posts mention a few hundred dollars a year, but those rates are no longer offered.

What makes a BidPrime quote go up

Four things move a BidPrime quote. Knowing them before the sales call is the easiest way to avoid paying for coverage you never use.

  • Geography. A plan covering a few neighboring states is priced far below national state and local coverage. If you only work in Texas, Oklahoma and Louisiana, ask for a regional quote first.
  • Document access. The monthly limit on Docs on Demand is what separates Enhanced from Expert. If you bid ten jobs a month, you do not need sixty documents.
  • Seats. Enterprise is built for teams that hand bids out to several people. Ask what one extra user costs on the lower plans before you accept an upgrade.
  • Intelligence add-ons. Future opportunities and market analysis are sold on top of the base plan. They help if you plan pursuits a year ahead, and they add little if you bid what posts this week.

BidPrime is billed as an annual contract, so there is no true monthly price. Divided out, the reported regional range works out to roughly 125 to 250 USD a month, and national coverage to 830 USD a month or more. You still commit to the full year upfront, which is the real number to budget.

BidPrime renewal and cancellation terms to check

The terms matter as much as the first year's price. Reviewers on Trustpilot and review sites describe three recurring issues: annual auto-renewal, price increases of about 5 to 10 percent at renewal, and cancellation that has to be requested well before the renewal date by contacting BidPrime, since there is no switch for it in the dashboard. Some also report a fee for cancelling close to the renewal date.

None of that is unusual for sales-led annual software, but it catches small firms out. Before you sign, get these in writing:

  • The renewal price for year two, or a cap on the increase
  • The exact notice period to cancel, and the address to send it to
  • Whether a cancellation fee applies, and when
  • The monthly document limit and the states covered, listed in the order form

Put the cancellation deadline in your calendar the day you sign. If the county or city you bid with pays on net 45 terms, the renewal invoice can land before your first award is even paid, and firms that chase every invoice by email and SMS find that cash gap much easier to live with.

Is BidPrime worth the price?

BidPrime is worth the price for a firm that bids many small local agencies across several states and needs the bid documents pulled for it, because document retrieval is the part that eats hours. It is poor value for a firm that bids a few jobs a month in one or two markets, or that mostly needs to know which of today's notices fit.

A simple test: count the alerts from your last month and how many you actually bid.
